Parts and Service Advisor - IML

Main Duties & Responsibility
- To make sure that all calls are being answered, and any queries are being dealt with.
- To assist with setting up appointments as per customer’s needs following standard operating procedures.
- To Check-In customer vehicles in the morning following the stand company procedure.
- To assist in the parking of customer vehicles in the workshop and parts premises.
- To answer and attend to customers’ queries that may arise in a prompt manner and update CRM information details accordingly.
- To create purchase orders, input to WIP for any local repairs and provide petty cash for the VRT and other authorised purchases via the workshop controllers.
- To contact customers to approve additional repairs that are needed by preparing a full estimate including labour and parts costs, upon approval, update workshop controllers accordingly and confirm with clients any additional / future repairs / ordering of parts.
- To contact customers for vehicle collection.
- To process cash deposits and handle invoicing accounts and internal job cards including PDI.
- To prepare detailed cash and warranty invoices outlining all services rendered.
- To ensure that quality standards are being adhered to.
- To inspects spare parts upon arrival, unpacking them and store them in the proper designated areas within the Parts Department.
- To maintain the stock inventory updated and ensures an adequate stock of parts.
- To assist colleagues and superiors when and as required in any duties related to the Parts and Service Department.
- To assist Reception area as needed.
- To strictly adhere to Health and Safety regulations and Company Policies.
- To ensure that Protective Clothing and Equipment provided by the Company are always used and worn.
- To attend training organized by the Company as required.
- To carry out any additional duties assigned by the Aftersales Manager.

Educational and skill requirements
- ‘O’ Level education
- Previous experience in a similar role is essential
- Excellent communication both in Maltese and English
